When Others Desire To Use Your Church or School Facilities

When others desire to use your church or school facilities that are not part of your church or school community, there are some critical elements that should be considered. You should have a building use from which each entity that desires to use your church or school facilities completes covering the following:

  1. Name and address of the entity.
  2. The responsible person for the entity with contact information.
  3. Area they desire to use
  4. Dates and time of use.
  5. Size of their group
  6. Nature of the use
  7. Your form should also outline their expected responsibilities they are to follow as they use your facilities, including how and what condition it is to be returned back to you.  This area should also outline possible expectations that cover possible damage or other issues of risk...
  8. Do they currently have liability insurance that offers at least $1,000,000, if their coverage is less then that they would need to take the time to meet that..
  9. They should be required to furnish your church or church school a certificate of insurance showing your church or church school as an additional named insured.
  10. Should they not carry insurance you could referred them to our office so that we might obtain them the necessary coverage.
  11. A copy of the certificate of insurance along with your annotation should be forwarded to our office. Please keep a copy for your records as well.

When you allow others that are not related to your church or church school communiuty to use your facilities they increase your risk factors just as if they were the owner for the property in your stead. Therefore it is important to check out each entity before use.
